Seeking Part Time Operations Assistant

Docs for Tots is seeking a reliable and detail-oriented individual to support our accounting and administrative needs on a part-time basis (approximately 10-15 hours per week). This position is ideal for someone with an accounting or bookkeeping background who is looking for limited, flexible hours. Availability in person on Mondays and Thursdays is required.

Duties

  • Submit invoices on behalf of the Executive Director
  • Review and check expense reports
  • Track receipts and charges for the Executive Director
  • Monitor company card transactions and update invoice records accordingly
  • Collaborate with the Director of Operations and accounting team to locate missing receipts or charges
  • Assist staff in making tax-exempt purchases in New York State when applicable
  • Troubleshooting staff technological issues as needed, i.e., communicating with IT support
  • Assist Director of Operations with onboarding
  • Assist with initial funding research and initiatives

Ideal Candidate

  • Has experience in accounting, bookkeeping, or financial administration
  • Is highly organized and detail-oriented
  • Can work independently and manage time effectively
  • Has familiarity with expense tracking systems (e.g., QuickBooks, Excel, etc.)
  • Is comfortable collaborating with multiple team members
